CBE PM – COVID-19 FREQUENTLY ASKED QUESTIONS 

Q: How do I submit routine work orders?

A: All work orders should be submitted through our online portal, or by emailing PM@cbeva.com. We will still be monitoring and dispatching work orders throughout this process, however, will not be able to guarantee that any given vendors will continue running service calls as the situation develops further.  

Q: What is considered a “routine” work order?

A: Anything non-essential is considered routine. Essential faculties in the home include running water, hot water, functional toilets/sewage evacuation equipment, heat/air conditioning, and refrigerator/stove. Any and all service requests should still be submitted as usual through our online portal or by emailing PM@cbeva.com 

Q: Which criteria will be used to determine an emergency situation?

A:  If any essential faculty in the house fails, it will be considered an emergency. Essential faculties include running water, hot water, functional toilets/sewage evacuation equipment, heat/air conditioning, and refrigerator/stove. Please keep in mind: if your house has two or more bathrooms, it is likely that a malfunctioning fixture in just one bathroom will not be expedited for repair. 

-Other scenarios that will likely be considered emergencies: 

  • Water leaks that cannot be contained by normal proactive measures (turning water off to the fixture in question/cleaning the water up, etc.). 
  • Plumbing pipe blockages that render all drains/toilets in the house unusable. 
  • Major roof leaks that affect quality of living, or stand to hurt the integrity of the property.  
  • Any situation that stands to damage the structure of the house/building (I.e. – a tree fell on the building, major wind/hail damage, etc.).  

 

Q: How do I report an emergency situation?

A: If you are experiencing a lifethreatening emergency, please call 911. Our maintenance emergency phone line can be reached at 540-720-3012, then select option 1 for our on call maintenance tech. Emergency work orders should still also be submitted through our portal, or by emailing PM@cbeva.com 

-Other scenarios that will likely be considered emergencies:

Q: A vendor has already scheduled with me to complete a job, will that vendor still be coming?

A: We have no way of knowing when any of our vendors will become uncomfortable in public. For any already scheduled work, the vendor in question should be contacted to check on whether they will still be coming. 

 

Q: How do I pay my rent?

A: Use the resident portal whenever possible to make a rental payment.  If you elect to deliver payments instead, please use the dropbox located next to the front door of our office building at 4840 Southpoint Dr. Fredericksburg VA. 22407.  The night drop box will be checked on a regular basis.   

 

Q: Will an annual inspection still be conducted in my home?

A: All inspections in occupied units are being suspended until further notice. The risk of spreading disease, especially with schools closed and many people having to stay home, is too great at this time 

 

Q: Will my move out inspection still be conducted?

A: All Move out inspections will still be completed, but will only be done after the house in question has been vacant for three or more days. We understand Tenants have the right to be present however, ask that our techs be allowed to inspect the vacant houses alone. All pertinent receipts, keys, remotes, parking passes, etc. may be deposited in our night drop box for collection, or left at the property in a predetermined location. We do ask that anything left in the night drop box be clearly labeled, and contained in as few envelopes as possible to save space.  

 

Q: How do I renew my lease?

A: Use your tenant portal to send a request to renew your lease.  Our Property Manager will be in touch to process the required paperwork electronically.    

Q: How do I give notice to vacate?

A: Use the Tenant Portal whenever possible.  You may also send an email to pmadmin@cbeva.com.  Our Property Manager will respond with the next steps.  We understand that many military service members who have already given notice; leaving on orders have been delayed.  We are working closely with our tenants to be on stand by and accommodate their current situation.   

Q: I want to or have already applied for a rental unit. How will this process work?

A: All Applications and application questions should be emailed to CreditCheck@coldwellbankerelite.com.  Our application processor will be monitoring this email and processing application as quickly as they are able.  You may also leave your application and funds in the dropbox located at our front door.  Any items put in the dropbox must be clearly labeled and in their own envelopes. Electronic delivery will be the most efficient at this time.
